Productivity Tool – QScore

Every organization faces a problem of measuring productivity they do have various productivity tool, Most of them fail miserably because they do have the data but with missing pieces, they don’t know whether the activity which is getting captured is accurate or not, capturing information accurately and then analyzing it and improvised wherever is required is a key to success for any organization.

For example we have captured the activity of Kevin, he says “Lunch break for 1 hour” so by looking at the activity we can say Kevin has taken lunch for one hour but we do not know what time also if labels are not used properly, then we cannot find the total time spent on “lunch” for that month.

So to sort this issue, we have come up with ‘QScore’ a unique productivity tool, which helps you measure the productivity for an individual or a team within the organization.

So, What is QScore? it stands for Quality Score, wherein TmTask rates the quality of data and validates information stored via time tracking with different criteria. It’s a simple visualization of data which helps you determine how accurate your data is stored. It simply tells accuracy in percentage for the selected filters and help you improvise over a time and take important decision

Your Quality Score depends on multiple factors :

By analyzing thousands of activities with different criteria such as timeliness, description, overlapping of activities, duration per activity, total time spent, gaps between activities, editing existing activities etc, TmTask counts a score which helps us determine the quality and accuracy of activities entered by an individual or a group of users with specific criteria. In order to simplify the process, we map the score from 0 -100% for the simplicity. if you score high percentage then the data is of top quality and accurately written and otherwise for the low percentage you score.

Benefits of Improving QScore

1] Gives you a proper estimate on cost for the projects you are working on

2] Helps to identify the quality and improvise slowly by monitoring

3] It gives you better understanding when you are trying to do budgeting on the projects

How Do You Increase Your QScore?

Since QScore determines how accurately and precisely activities are entered by the users, it’s important to boost your score by working consistently on improving the activities entered by users. This can be achieved by focusing your efforts on several key areas:

1] Timely Manner – if the data is entered in a timely manner then it helps TmTask to analyze data more accurately, So if you enter your activities every weekend for the entire week then its most likely that the activities which are entered are not 100% accurate. Because you tend to not remember the exact time or total hours you had spent on those activities. So the best practice is to enter the activity same day when the work is done or you switch to some other activity

2] Descriptive – Less descriptive activities do not give you much information, similarly if you write activity which is less descriptive where a user has not selected any projects, label and tags we will not be able to relate the kind of work which is accomplished. So be descriptive add Projects, Labels and tags where required

3] Overlapping of Activities – There is no way a person can work simultaneously on multiple tasks. Technically, if a person is working on more then one task, the moment he switches the task he stops working on the older task.  At any given point in time, he or she can perform one task. For example, you are working on designing logo in Photoshop for one of your clients and then suddenly you realize that you forgot to finalize a client video ad. The moment you try to finish the video ad, you are no longer working on the logo designing. So try to have minimum overlapping activities when you are tracking.

4] Duration per activity: Duration of each activity is important, Personally I have seen at so many workplaces they enter 1 – 2 activities for the entire day. Practically in an entire day, we have done so many tasks, so try to split task and enter proper duration you have spent doing those activities

5] Total time spent – Ideally everyday people work 9-10 hours in a different time frame, So if one day you only track 5 hours and another day you track 10 or 15 hours to compensate other days, then there is discrepancy if we check historical record if it is only one day, then it will not affect the score, but regularly if you enter irregular activities it will affect your score

6] Gap between activities – Too many gaps between the activities affect the accuracy and score, try having a minimalist gap

7] Edit single activities multiple times – If you edit your entered activity too often then it will affect your score. For example, you have entered “Lunch Break” from 1:00 pm to 1:30 pm and quickly you figure out that timings are not proper, so you will edit the time from 1:30 pm to 2:00 pm( So, in this case, there will be no impact). But if you try editing older activities then there is a high probability that you will lose the score

How do you check QScore?
